How to Add Employees to Yuvo

Guide on how to add employees to the Yuvo database

Go to My Employees on the left hand navigation bar > Add User.

You can choose from:

Add existing employee

When you click on "Add Existing Employee" you will be taken to a page to fill out the employee's details.

Please note that Department, Work Location and Document Types need to be set up before they can be selected here.

Once all the relevant information has been filled out, click on "Create Existing Employee".

⚠️ Note: this will add one seat to your subscription and you will be billed accordingly.

Then, you will be taken to a screen confirming that the employee's account has been created successfully.

You can choose to:

  • Go back to My Employees

  • Send them an invite to the Yuvo platform via Email or SMS

  • Edit their profile

Add New Joinee

When you click on "Add New Joinee" you will be taken to a page to fill out the employee's details.

You can select to grant them full access to the Yuvo platform when an admin approves (manually), or automatically after their joining date.

Before full access is granted, this new joinee will only have access to the new hire dashboard.

Once all the relevant information has been filled out, click on "Create New Joinee".

⚠️ Note: this will add one seat to your subscription and you will be billed accordingly.

Then, you will be taken to a screen where you have an option to trigger a workflow for onboarding. Note: you will need to set up a workflow first in order for this to work.

After this, you will be prompted to send an invite to the employee to join the Yuvo platform. You can send the invite via email or SMS, and you can customise the invite message.

⚠️ Note: Please ensure that the new joinee's company email has already been created and activated before you send an invite. Otherwise, the email will not be sent successfully.

Add Guest User

When you click on "Add Guest User" you will be taken to a page to fill out the guest's details.

Once all the relevant information has been filled out, click on Create Guest User.

⚠️ Note: Guest users are not chargeable.

Then, you will be taken to a screen confirming that the user's account has been created successfully.

You can choose to:

  • Go back to My Employees

  • Send them an invite to the Yuvo platform via Email or SMS

  • Edit their profile


🪄💡User Tips: The creation of Guest Users serves diverse purposes:

  1. Guest Users have limited access to sensitive HR data, ensuring data security and privacy.

  2. They are restricted from utilizing any modules within Yuvo, including administrative privileges for modules, applying for Leave, Expense Claims, Payroll, etc.

  3. Their primary advantage lies in enabling seamless collaboration with external partners, such as vendors, contractors, or clients.

  4. Furthermore, they can participate in an approval template, allowing them to approve or reject Leave Applications, Expense Claims, Timesheets, or Payroll when needed.


Granting access to the Yuvo platform

To manually grant full access to a new joinee, go to My Employees > find the employee profile > click on the 3 dots > click on "Give full access".

Bulk import

You can use the bulk import function to add multiple employees at once.

To add new employees, download the Blank Template. To make changes to existing data, download the Template with existing employees data.

Fill in the fields as required. It is not compulsory to fill in all of them. You will still be able to change the information later.

Upload the edited template, confirm any edits made, then click Save & Complete. When you go back to My Employees, the changes should be reflected.


🪄💡User Tips: When it comes to adding career progression records, update each category such as join dates, salary increment, termination dates separately per upload of the template. This prevents errors when managing career progression records for employees.

Once the employees have been added, you can send an invitation in bulk via email/SMS.

Go to My Employees > More actions > "Bulk invitation via Email/SMS"
