Yuvo's leave module allows employees to conveniently apply for leave on the web or through the mobile app, and for managers to approve them through the same platforms. To get started on setting up the different types of leave for the company the admin then has to define:

Leave Type

The Leave module can be accessed via the Leave option in the left-side navigation menu.

There are two ways to create different leave types in Yuvo. Either select From Gallery the multiple done-for-you templates. Or create your Leave Type from scratch by clicking on New Leave Type Button.

From Gallery

=> Click on Leave Settings > Leave Types > From Gallery.

When clicking on a template in a Leave Type, click on the button Clone to create the chosen leave type for your company.

The newly added Leave Type is then shown in 'My Company Leave Items' under the Leave Types tab. Congratulations! You have now created your first leave type for your company.

If our gallery doesn't have the leave type that aligns with your company policy, This method allows you to create and customize your leave type.

  • A popup window will appear, allowing you to customize the various to tailor to your organization's needs! We will now walk you through the various customizations options to tailor each leave type for your organization's needs.

Customizing settings for each new Leave Type

This section explains the various fields and options you can adjust to tailor the leave type to your organization's requirements.

  • Name: The name of the leave type is a mandatory field.

  • Description: A short description of the leave type.

  • Approver: By default, the Manager is the approver of the leave type. To choose someone else to approve the leave type, click on the dropdown menu and choose "select employee" to select a different approver.

4. Cc Notifications to You can choose the additional employee(s) to receive the notifications about when an entitled employee applies for leave/if the leave gets approved/if the leave application gets rejected, apart from the Approver.

  • Is Unpaid Leave?: The leave type will be used in the calculation of the unpaid leaves if checked.

  • Is Compensatory Leave?: All other customization options will be disabled as it would be as a compensatory day off.

5. Entitlement: The total number of days entitled can be split into 3 types:

  • Fixed Balance: A specific number of days that will be available to the employee upfront.

  • Tenure-based addition: There are three options for the tenure-based increment of leave.

Leave period start date: Starting date of the leave period, usually 1 Jan. Differs from 'Calendar Year' as leave is only added after 1st work anniversary, not at the start of each calendar year regardless of whether the work anniversary has passed.

Note: when an employee joins in that leave period year, it would be considered 0th year. Therefore only on the 2nd leave period year would he get an increment.

Anniversary start date: A full year after the join date

Calendar Year: leave is added on 1 Jan each year regardless of employee tenure.

Adding New Rule

Set the starting balance for the leave type.

Click the Add new rule button to customize the increment in leave balance every cycle.

Note: when an employee joins in that leave period year, it would be considered 0th year. Therefore only on the 2nd leave period year would he get an increment.

iii. Unlimited balance: No limit to the leave balance for the leave type.

6. Count Days: The days can be calculated as either working days, as per the workweek, or calendar days.

7. Negative balance: Allows leave days to go into negatives.

8. Count Days: Choose based on working days or calendar days.

9. Count half-day working day as a full day of leave?: when this is checked, leave applied on half working days will be a full day.

10. Unused leaves:

  • Available Upfront: Available to apply altogether.

  • Accrued every Month: The total number of days of entitlement will be divided equally for each month.

  • Accrued every Quarter: The total number of days of entitlement will be divided equally for every quarter.

11. Unused Leaves: The unused leaves can be chosen as follows:

  • Forfeit: Unused leave will not be available to the employee after the leave period.

  • Encash: Unused leave can be encashed by the employee. (coming soon)

  • Carry forward: This can be made available through to the next leave period according to the settings.

*The carry forward leave balance can be either calculated in days or even as a percentage.

12. Proration required?: If the option is selected, the leave balance available to the employee will be prorated according to the options selected.

*Calculations are made in the number of remaining calendar days / 365 days when the employee joins the company.

  • Round-Up/Nearest whole number: If the available balance is 1.5, it will be prorated to 2.

  • Round-Up/Nearest half: If the available balance is 1.25, it will be prorated to 1.5.

  • Round Down/Nearest whole number: If the available balance is 1.5, it will be prorated to 1.

  • Round Down/Nearest half: If the available balance is 1.75, it will be prorated to 1.5.

13. Add to Leave Periods: Choose the leave period(s) to have the leave type to be made available in.
