When the employee has overtime enabled, the same can be added and calculated as a pay type in the payslip. This pay item will be auto-calculated based on salary information entered in employee profile. However you have the option to customise the amount in the payslip as well.

To setup overtime rates and payment, there are 2 ways for admin :

  • if you wish to setup or edit an employee's overtime rates at a time, go into the specific employee's profile. OR
  • if you have multiple employees to setup or edit, you can use the "Bulk Import" function and fill up the rates (eg. 1.5, 2) in the appropriate columns with "overtime" in the headers.

A) To setup or edit overtime for one employee at a time :

  • First, go to the employee's¬†profile via "My Employees" on the left menu, search and click on the employee to go into their profile, click on "Employment" tab and scroll to the section "Payroll".
  • Click "Edit" button to bring up the popup.
  • Tick the settings that are relevant for this employee : "Has Overtime pay" and "Enter a fixed Hourly basic rate of pay" (else the hourly rate is auto-calculated based on the Basic Salary".
  • Key in the overtime rates for the different type of days applicable. (eg. 1.5 or 2 rates).
  • Click "Save" when done.
  • Go to the payslip of the employee under the Payroll module.
  • Click "Add new pay type" to open the menu.
  • Choose the relevant overtime pay item.
  • Change the no. of hours based on the rate shown, or click the more options customise your own amount.

B) To setup or edit overtime for multiple employees :

  • First, go to "My Employees" on the left menu, and click on "Bulk Import" button.
  • If you already have existing data entered in the system, you should click on "Template with existing employees data" to download and see all the current information and make the necessary changes. Else, you can download a blank template and fill in the necessary details (eg. has overtime TRUE, 1.5 or 2 rates).
  • Drag and drop file or click the empty area to upload the completed excel template.
  • If there are errors, there will be error message with hints on which field name is causing the error. It is recommended to fill in as many details as possible in the excel template to prevent problems with uploading of data. Payroll requires multiple personal data in order to do accurate computations.
  • When there are no errors, click "Save and Complete" button.
  • Go to the payslip of the employee under the Payroll module.
  • Click "Add new pay type" to open the menu.
  • Choose the relevant overtime pay item.
  • Change the no. of hours based on the rate shown, or click the more options customise your own amount.
  • Do the same for other employees with overtime pay.
